Inventory Management
Clarity’s inventory system is built for how jewelers actually manage stock. Every item starts with a category that determines which detail fields show up, so you’re only filling out what’s relevant to that product type.
Adding an Item
There are two main ways to add inventory in Clarity. The primary method is Add Item, which creates a new product entry from scratch. The second is through Vendor Invoice Import, which is faster when receiving a shipment from a supplier.
To add an item directly, start from the Inventory page. Click Add Item, select your item category, and Clarity tailors the form to that product type. Rings get ring-specific fields. Loose diamonds get diamond fields. This keeps data entry fast and focused.
You’ll see three fields: Cost (what you paid the supplier), Replacement Cost (current market value, visible to staff), and Markup (determines the selling price). This separation gives you full control over internal pricing transparency. Staff sees the replacement cost while you track the real numbers behind the scenes.
Tracking Methods
Clarity gives you three ways to track inventory:
Serialized
Every piece gets its own unique SKU, even if you have five of the exact same ring. This is what most jewelers use for high-value items. It lets you track exactly which piece is where, who bought it, and its full history.
Bulk
Items share the same SKU and you adjust quantity up or down. Think cleaning supplies, gift boxes, polishing cloths. You don’t need to track each individual unit.
Untracked
Unlimited stock, no tracking. Use this for things you always have on hand and don’t need to count.
Yes. Once an item is saved, the Inventory panel on the right shows every unit. Click the + New button to add another unit. The SKU auto-generates, the vendor is already set, and you just fill in weight, cost, serial number, and location. Same product, unique SKU, tracked individually.
Categories are fully customizable by your store admin. The category you select determines which detail fields appear on the form and which tag template is used for printing. Diamonds are highly customizable with cut, color, clarity, carat weight, and certification fields.
Item Details
After setting up tracking, you enter specifics like metal type, diamond weight, lab-grown status, and stone details. Clarity automatically builds out the item description from these fields. How much detail you see depends on the category you selected.
Photos
Before saving, you can capture a photo of the piece. This attaches to the item record and is useful for your team and for customer-facing scenarios.
Photos make it faster for staff to identify pieces in the showcase, and they’re invaluable when a customer calls asking about an item they saw last week. The photo attaches directly to the item record, so it’s always one click away.
Memo Inventory
Memo inventory is a common arrangement in the jewelry industry where a supplier sends you product on consignment. You display and sell the pieces, but the supplier retains ownership until a sale happens. Clarity tracks memo items separately from your owned inventory so you always know what you actually own vs. what you’re holding for a vendor.
When receiving items through a Vendor Invoice Import, check the Memo checkbox on the invoice. All items on that invoice will be marked as memo. This affects your reporting and ensures you’re not counting consignment stock as owned inventory.
Weight-Based Pricing
For items where the value is driven by the metal, Clarity can auto-calculate pricing based on metal type and current market rate. This saves time when adding gold or platinum pieces because you enter the weight and Clarity does the math.
Select the metal type, enter the weight, and Clarity calculates the base price using the current market rate. You can then apply your markup on top of that. This is especially useful when gold prices fluctuate since you can adjust the market rate and reprice items quickly.
